Dear IPCAI Authors,

We are pleased to announce the NDI/IPCAI Young Investigator Travel Awards. The purpose of the award is to help young investigators (including PhD and MSc students and junior researchers) with accepted papers at IPCAI conference to attend IPCAI/CARS 2019. These awards are generously sponsored by NDI.

Each award will help partially cover expenses towards air travel in economy class, local hotel stay (3 stars or equivalent category), and IPCAI registration. A committee of senior members of the IPCAI community will review requests and make a decision.

As IPCAI 2019 is co-hosted with The 33rd International Conference of Computer Assisted Radiology and Surgery (CARS), we ask all participants to register through the CARS registration website. Please mind the following:

  • Regardless of your academic status (student), a presenting author must register as a presenting author at the CARS registration website,
    • The deadline for a presenting author is currently set to be March 04, 2019. We are working with CARS organization to extend this deadline.
  • All other types of participants: Please register by April 25, 2019 to receive a discount on registration fees.
  • Under Additional Questions, please select IPCAI as the preferential part of CARS congress,

The Information Processing in Computer-Assisted Interventions (IPCAI) is one of the most important forums to innovation in the domain of computer-assisted surgery. The IPCAI conference is a truly international interdisciplinary conference bringing clinicians, computer scientists, engineers, and other researchers at a unique setting. Instruction for REGULAR paper submission

  • Paper should be formatted for submission to the International Journal of Computer Assisted Radiology and Surgery (IJCARS). Detailed instructions with regard to paper format: Title page, Abstract structure, References, etc. can be found on the IJCARS site under “Instructions for Authors” tab.
    • LaTex: a style file is available from Springer’s website. If you use this style file use the first option in the template as your document class, “one column (standard format)”.
    • Word: unfortunately, we do not have a word template. Your text will need to fit inside a 7.25″x4.5″ (18.415 cm x 11.43 cm) region. Text font should be set to Times new roman 10 pt. Captions and reference font should be set to Times New Roman 9 pt. We encourage the use of the LaTex template for IPCAI 2019.
  • The file format for submissions is Adobe Portable Document Format (PDF) with a maximum of 20MB in size. Other formats will not be accepted.
  • All papers should be submitted in IJCARS single column format.
  • The maximum number of pages for your submitted paper is 13 in single column format including abstract and references.
  • The review process is single blind: authors declare their names and affiliations in the manuscript for the reviewers to see, but reviewers do not know each other’s identities, nor do the authors receive information about who has reviewed their manuscript.

IPCAI is a premiere international forum for technical innovations, system development and clinical studies in computer assisted interventions (CAI). Submissions of original works are encouraged within the broad areas of CAI and specifically in:

  • Surgical data science
  • Interventional imaging
  • Systems and software
  • Evaluation and validation
  • Tracking and navigation
  • Interventional robotics
  • Surgical planning and simulation
  • Advanced intra-operative visualization and user interfaces
  • Augmented Reality for medical applications
  • Surgical skill analysis and workflow

All accepted papers are eligible for, after appropriate revisions, publishing as full papers in a regular issue of the International Journal of Computer Assisted Radiology and Surgery (IJCARS) and indexed in PubMed.

NEW FOR 2019

For the first time, IPCAI will provide an opportunity for the CAI community to showcase scientific breakthroughs and novel ideas. Authors will be able to submit Long Abstracts to be presented as oral and poster presentations at IPCAI. The focus of these Long Abstracts will be on:

  • Exciting new breakthroughs relevant to IPCAI or,
  • Novel ideas with preliminary but limited experimental validation.

Long Abstracts will be peer-reviewed based on novelty and potential interest to the IPCAI audience. Another call with details will follow closer to the Long Abstract deadline of January 11, 2019.

Review Process


All papers accepted at IPCAI are intended to be published in a special issue of the International Journal of Computer Assisted Radiology and Surgery (IJCARS) after all revisions recommended during the review process have been addressed.

For this reason, papers submitted to IPCAI follow a two-step review process, described below.

Step (1): IPCAI review process: The submissions are reviewed by two committees to ensure high quality papers suitable for presentation at IPCAI and publication in IJCARS:

Area Chairs (ACs)
who assign reviewers (primary role) and make decision recommendations for a subset of submitted papers (secondary role).

Reviewers
who provide an evaluation for a set of papers. Each paper is assigned to three reviewers. ACs act both as a Primary and as a Secondary AC for different subsets of papers:

Primary ACS
assign three reviewers to each paper. They know the identity of the authors and the reviewers and ensure that there are no conflicts of interest. Reviewer assignment ensures that at least one reviewer is senior in the topic and the reviewers represent a good spread of institutions and geographical locations. Primary ACs ensure three detailed, solid external reviews for each paper and encourage reviewers to update scores after the rebuttal phase. They then provide a summary of the reviews as well as a recommendation.

Secondary ACs
are responsible for making a second independent recommendation for acceptance/rejection of manuscripts. They do not know the identity of the reviewers and make a recommendation for papers that do not belong to the set of manuscripts in their Primary AC set. At the program board meeting, each paper discussed will have two independent recommendations: one from a Primary AC and one from a Secondary AC.

Note: These two AC roles are designed to reduce any possible bias arising from knowledge of the identity of the reviewers in the single-blind process.

The timeline of the review process is as follows:

Assignment of ACs
Each submission is assigned to one Primary AC and one Secondary AC. The assignment is based on the matching between the expertise of the AC and the contents of the paper.

Assignment of Reviewers by Primary ACs
The Primary AC member assigns three reviewers to evaluate each paper. Conflicts of interest are herewith taken into account; no reviewer from the same organization as the authors is allowed and the ACs try to take geographical spread into account; at least one senior reviewer is assigned. Primary AC members will make their best effort to assign the appropriate reviewers to each paper.

Review by Reviewers
Reviewers work on their reviews and once submitted they are checked by the Primary AC to ensure sufficient constructive content.

Recommendations by ACs
For each paper for which there is consensus among the reviewers, the Primary and one Secondary AC make a recommendation about acceptance or rejection of the paper and may also recommend the paper for awards.

Early Acceptance/Rejection
Decision are made to reject/accept papers for which there is consensus among the reviewers and ACs. Decisions and reviews are sent to the authors. For accepted papers, the authors can begin revising their papers according to the comments of the reviewers for the second step of the process.

Rebuttal Period
For papers who have not been subject to an early decision, the authors receive the reviews and are invited to submit a rebuttal.

Update of Reviews by Reviewers
The Primary AC urges the reviewers to consider the authors’ rebuttal and to update their reviews and scores accordingly. The purpose of this step is not necessarily to reach consensus among the reviewers but to eliminate any misunderstanding.

Recommendations by ACs
For each paper, the Primary and Secondary ACs provide their recommendation about acceptance or rejection of the paper by taking into account the initial reviews, the rebuttal and the updated reviews.

Final Decisions
The Program Chairs compile all recommendations for the Program Board Meeting. The Program Board then finalizes acceptance/rejection decisions and selects papers with award nominations. The award winners are decided later by the IPCAI Award Committee.

Notification of Acceptance
The authors are notified about the final decision and are provided the reviews and comments from the ACs that offer additional information on how the decision was made. The authors begin revising their papers according to the reviews for the second step of the process.


Step (2): IJCARS review process

Submission to IJCARS
Authors of accepted papers submit their updated manuscript to IJCARS for publication in the IPCAI special issue. For each paper, the Program Chairs, which serve as Guest Editors of the special issue, transmit the IPCAI recommendation and the reviewers’ information to IJCARS. IJCARS sends the updated manuscripts for a final round of review, using the same reviewers as during the IPCAI review process. The reviewers include the Primary and Secondary ACs. These reviewers check that the papers have been revised according to the recommendations formulated during the IPCAI review process and confirm their recommendations accordingly.

Notification by IJCARS
The authors are notified about the final outcome and asked to submit the final revised manuscripts for publication in the special issue. Papers that would not be immediately accepted, because they did not comply with the recommendations, will be presented at IPCAI and kept within the IJCARS review process for later publication in a regular issue of the journal.

Information for Authors and Attendees


The goal of the conference format is to encourage constructive discussion of the presented papers and active engagements between authors and attendees.

Conference Format
The conference program consists of three phases:
  • Short podium presentations (Day 1):
    All authors will practicipate in providing a short, 5-minutes, oral presentations. Papers are grouped by their topics into sessions. After each session, attendee vote for two papers they would like to be presented and discussed at length on Day 2. No questioning period is allocated for the short podium presentation.

  • Poster presentations (Day 1):
    All authors will practicipate in poster presentations. Designated time and location are provided to allow the attendeeds and authors to engate in in-depth discussions.

  • Long podium presentations (Day 2):
    Attendees-chosen papers will be presented in a long, 15-minutes, podium. Questioning periods is provided.

INSTRUCTION FOR AUTHORS
Authors will need to prepare two oral presentation and a poster before coming to the conference:
  • ALL AUTHORS:
    • A 5-minutes oral presentation:
      A short, but complete, presentation about your paper. The audience will vote for a long presentation based on it.
    • Poster presentation:
      Schedules are provided for authors to present their posters; this is designed for attendees and authors to engage in detailed discussion of the presented work.

      The poster format is: size A0 (841 x 1189 mm) in portrait.

  • Selected by Attendees:
    • A 15-minutes podium presentation (plus questioning periods):
      Presenters are kindly asked to minimize the overlap between the short and long presentations.

Best Presentation Awards will be selected by the audience for the long presentations.

  • Recently published or submitted journal contributions with exciting new breakthroughs, as to give authors the opportunity to present their work and obtain feedback from IPCAI community.

The Long Abstract will be peer-reviewed and the final accepted Long Abstract will be published on-line only on the day of the conference (June 18, 2019) and thereafter. Author(s) of original work may elect to submit accepted Long Abstracts to IJCARS for consideration as a short-communication article (an additional review process will be required and process through IJCARS directly).

The Long Abstract is to be submitted via a separate Microsoft CMT, available at HERE

The deadline for Long Abstracts is January 11, 2019 at 11:59pm PST.

Long Abstract Format:

  • LNCS format, latex template at Springer’s website
  • Accepted file format: PDF only
  • 2-4 pages with figures, tables, and bibliography (4 pages maximum)
  • Do not modify the LNCS template in anyway (no changes in margin, line spacing, etc.). Any alteration to LNCS template format will result in automatic rejection
  • The Long Abstract text is to be structured exactly as the following:
    • Full title of the paper
    • Full list of the authors and affiliations
    • Purpose
    • Methods
    • Results
    • Conclusion
    • Bibliography
    • Figures/Tables must be referenced in the text
    • Figures/Tables captions must be provided
    • No “short abstract” is needed
  • Each Long Abstract can be accompanied with a single (1) supplemental video. The supplemental video must be compressed and uploaded in .ZIP file format.
  • On the Microsoft CMT submission system ONLY, submit a 2000-character abstract detailing the nature of the work and why it should be considered for the Long Abstract category. This is for review purpose and is not to be included in the long abstract text.

Frequently Asked Questions (FAQ) - Long Abstract


Question: Will the Long Abstracts be published, and if so, how?

Accepted Long Abstracts will be published on-line ONLY on the day of conference (June 18, 2019) and thereafter.

Authors of original work may elect to submit accepted Long Abstracts to IJCARS for consideration as short-communication articles. An additional review process will be required and process through IJCARS directly.


Question: Can I submit a Long Abstract based on my own prior works, including published or submitted journal manuscripts?

Yes. IPCAI encourages submission of exciting new breakthrough and will accept Long Abstracts based on published works or works currently in submission to other journals. In the IPCAI Long Abstract submission process, you will be asked to provide details of these prior arts, such as the name of journals. This is to give authors the opportunity to present their work and to obtain feedback from IPCAI community.


Question: How are accepted Long Abstracts presented?

Accepted Long Abstracts will be presented as 5-minutes oral presentations (no questioning period) and as poster presentations. Format of the poster will be announced at a later date.


Question: Can Long Abstracts be voted for long oral presentations?

The answer to this question will be based on the number, as well as the quality, of submissions. Decision will be made at a later date.


Question: How are Long Abstracts being reviewed?

Long Abstracts are peer-reviewed by IPCAI Area Chairs with input from the Program Board. For the list of organization committees, refer to HERE.


Question: Are the Long Abstracts eligible for Awards?

No.


Question: How do I prepare the Long Abstract manuscript?

Please use the LNCS LaTeX template available at Springer’s website, and submit the manuscript in PDF format only.

We are unable to supply with a Microsoft Word or any other template. If you are having trouble installing a LaTeX typesetting system on your computer, your may consider using on-line LaTeX editor such as OverLeaf.


Question: What is the format of the manuscript?

Please use the LNCS LaTeX template available at Springer’s website. Please do not modify the LaTeX template: any alteration to LNCS template format will result in automatic rejection.

The manuscript should be 2-4 pages (4 pages maximum) with structures outlined in the Call-For-Paper for Long Abstract.


Question: Can I upload supplemental materials for the Long Abstract?

Yes. You are allowed to upload 1 video (compressed in .zip format) as the supplemental material for the Long Abstract. No other supplemental materials are allowed.

Please keep in mind that the reviewers are not obligated to use the supplemental materials during the review process.
